The Fire/EMS Program Assistant at Central Piedmont Community College plays a crucial role in supporting the Fire and EMS Training program through various administrative and clerical tasks. This position involves maintaining training records, assisting students with program registration, managing instructor schedules, and ensuring the smooth operation of training activities. The assistant will also be responsible for budget monitoring and inventory management, contributing to the overall effectiveness of the program.

- Maintains records of training/laboratory activities and student files including grades and attendance.
- Monitors course offerings and makes recommendations to stay current.
- Prepares reports regarding attendance, grades, course files and course evaluation; submits textbook/materials requests.
- Types and proofreads memos, correspondence and other printed material.
- Provides detailed information to current and prospective students regarding department's instruction programs and policies.
- Advises and assists students with program registration.
- Assists in the management of training documents and instructor records, including verifying valid instructor certifications and part-time employment status.
- Coordinates and verifies instructor teaching schedules and contact information, ensuring the instructor has updated lesson plans and necessary training items.
- Assists in the preparation and submission of instructor time sheets.
- Monitors inventory of materials and supplies, initiates ordering process as needed.
- Assists coordinators with the marketing of their program; assists in the development of proposals for training services to CCE customers.
- Provides all documentation required to set up, track, and report activities, cost and revenues, conducts regular budget reviews with weekly monitoring of expenditures.
- Consults with budget account manager to request and track refunds, reconcile instructor contracts and class rosters; may assist the appropriate administrator with monitoring budgets.
- Creates master files and generates course information sheets.
- Creates and updates unit's files; pulls and re-files records; purges inactive files.
- Gathers and summarizes information; produces reports.
- Orders, picks up and delivers class materials; assists program developers and instructors with class activities.
- Interacts with trainers and instructors to ensure payments are processed.
- Handles contracts and time entry.
- Answers phone; provides information and explains procedures; refers calls to appropriate person; takes messages; screens requests for supervisor.
- Sets up, assists and participates as a role player in training/laboratory/clinical/on-line activities for Fire/EMS.
- Performs other duties as assigned by Director or staff.

Requirements
- High School diploma or GED
- Beginner level Microsoft Office skills including general knowledge of word processing and spreadsheets
- 2 years of experience in an administrative or administrative support role, or a combination of education and work experience totaling 2 years
